The three circles of members, and exactly what each one needs to hear so nobody gets left behind when your club changes its home.
Every group is really three groups, and they each need a different nudge. Sort your people first and the move becomes easy.
Who is actually in your group
| Circle | Who they are | What they need from you | | --- | --- | --- | | The core | Come most times, know your name | A direct message and a link. They are in. | | The regulars | Come monthly-ish, always glad they did | The next date and one clear reason to click | | The maybes | Signed up once, watching quietly | A page that looks warm and welcoming |
Your core carries the move. Your regulars follow the calendar. Your maybes are convinced by a page that looks like somewhere fun, so build that page properly before anyone sees it.
For the core
Hey, we are giving the group a new home so events and RSVPs live in one place. Here is the link, can you RSVP for [date]? Would love the page to look alive before I share it widely.
Send it individually. It works because it is a small favor, and people love being asked.
For the regulars They are not attached to a platform, they are attached to the next fun thing. Make the announcement about the event, and mention the new page as a detail.
Next [thing] is [day] at [time], [place]. RSVPs are on our new page now, link here. Same group, same people, easier to keep up with.

For the maybes Photo that shows real people, a description in your voice, and a date on the calendar. That is what convinces someone who has never quite made it out yet.
:::warn Three things that actually scatter a group Running two RSVP lists for months. Sending five reminders. Being negative about wherever you were before. Confusion loses more members than any move. :::
The 30-day check
• Day 1: page finished, next event posted • Day 3: core invited directly, first RSVPs in • Day 7: one clear announcement everywhere your group lives • Day 14: host the event, RSVPs on the new page only • Day 21: send a direct link to anyone who missed it • Day 30: close the old subscription
Two practical answers
Member lists usually export names but not emails, so plan to reach people through chat and event posts. If you collect dues, set payments up on the new page first and switch billing at the start of a cycle.
